Build a Business Website in Two Days with WordPress

Many small businesses think they have to spend thousands of dollars and weeks of development time to have a functional website for their small business. But this is an outdated way to think about web design.

These days, there are a variety of content-management tools available to simplify website creation and management. WordPress is one of those tools. Yes, WordPress, the blogging system. Did you know you can also use WordPress as a full-featured website? It's true. You can create a highly functional, easy-to-manage website using only WordPress and a bit of technical know-how.

A Business Website in Two Days

Not convinced? Need evidence? I understand. For the longest time, small businesses have been told that web development takes a long time and requires a lot of money. Thousands of web design firms make their bread and butter off this notion, and they are cursing me right now for writing this article.

But I'm a big fan of giving people options, so I want you to know that this web design option exists.

Here's a step-by-step approach I have used many times to create a business website from scratch, in only two days time.

Step 1 - Register Domain Name and Get Web Hosting

Using a company like GoDaddy, this can be done in about one hour. The domain registry costs per year, and the hosting costs about per year. Total cost for web domain and web hosting for one year = .

Step 2 - Install a MySQL Database on Web Host

This sounds complicated, but it's a five-minute operation on GoDaddy (one of many reasons I use them). I would go into the database section of the hosting control panel, select "create database," and then give it a name and password. Total time spent: 10 minutes.

Step 3 - Install WordPress on Web Host

WordPress is free, so there's no cost involved with this step. I would simply open a configuration file, insert the database name and password I created in the last step, and then upload the entire WordPress program onto the web host. Total time spent: 12 minutes (mostly waiting for files to upload).

Step 4 - Launch and Configure WordPress

When all the WordPress files are uploaded to the web host, I'm ready to run the installation process. This takes about 12 seconds, so we won't even count it on our time tally. I would then change the URL / linking structure to make it more search engine-friendly (1 minute), add some categories (2 minutes) and other minor tweaks (5 minutes). Total time spent: 8 minutes.

Step 5 - Customization and Appearance

I want this website to look professional and unique, so I would create a custom logo for it, arrange its layout for usability and readability, tweak the colors, etc. Granted, this step requires some graphical knowledge (for logo) and web coding skills (to arrange the site's layout), but it still only takes half a day. You could pay somebody to handle this setup process for just a few hundred dollars. Total time spent: 5 hours.

Step 6 - It's Time for Content

Now comes the most important part. I need to create some initial content for my website. I say "initial" because I plan to add new content on a weekly basis (the WordPress system makes this easy to do, by the way). I want to start with a few pages of content about my services, some content for the home page, etc. Total time spent: 1 day.

So let's recap. I've just created a multi-page business website (with a blog built in), I've created some initial content to get me started, and I have a content-management system that allows me to add new pages and blog posts as easily as I would type an email.

Like I said, if you don't have the technical / graphical skills to accomplish the things on this list, you could hire somebody to help you. In the end, you'll pay a lot less than you would pay for a traditional, programming-heavy ("bulky") website. And you'll have your website in a matter of days, instead of weeks or months. Best of all, you'll be able to manage certain aspects of it, because the content-management tool is built right in.

Some web design firms will tell you it can't be done, that it takes weeks to build a website. But I've just shown you it can, haven't I?

Select about five sites and then study those sites. Again, if you're doing free classifieds, you'll want to look at as many ads as you can. Study those ads. Which ads made you want to take a look at the actual offer? That's how you want to write your ads. The same applies to any other promotional material: articles, press releases, etc.

Once you've completed this task, write your sales materials and start posting. Then go and find five more sites. Test and track your promotions to see which ones get results.

Human Resource Management and Organizational Effectiveness

1. Introduction

Organizational effectiveness depends on having the right people in the right jobs at the right time to meet rapidly changing organizational requirements. Right people can be obtained by performing the role of Human Resource (HR) function. Below is an outline and explanation of how to assess the HR functions of an organization by using HR activities in an architectural firm as an example. Human resource management (HRM), as defined by Bratton, J. & Gold, J. (2003), is

According to this definition, we can see that human resource management should not merely handle recruitment, pay, and discharging, but also should maximize the use of an organization's human resources in a more strategic level. To describe what the HRM does in the organization, Ulrich, D. & Brocklebank, W. (2005) have outlined some of the HRM roles such as employee advocate, human capital developer, functional expert, strategic partner and HR leader etc.

An important aspect of an organization's business focus and direction towards achieving high levels of competency and competitiveness would depend very much upon their human resource management practices to contribute effectively towards profitability, quality, and other goals in line with the mission and vision of the company.

Staffing, training, compensation and performance management are basically important tools in the human resources practices that shape the organization's role in satisfying the needs of its stakeholders. Stakeholders of an organization comprise mainly of stockholders who will want to reap on their investments, customers whose wants and desires for high quality products or services are met, employees who want their jobs in the organization to be interesting with reasonable compensation and reward system and lastly, the community who would want the company to contribute and participate in activities and projects relating to the environmental issues. Common rules and procedures of human resource management must be adhered to by the organization which forms basic guidelines on its practices. Teamwork among lower levels of staff and the management should be created and maintained to assist in various angles that would deem necessary in eliminating communication breakdowns and foster better relationship among workers. The management should emphasize on good corporate culture in order to develop employees and create a positive and conducive work environment

Performance appraisal (PA) is one of the important components in the rational and systemic process of human resource management. The information obtained through performance appraisal provides foundations for recruiting and selecting new hires, training and development of existing staff, and motivating and maintaining a quality work force by adequately and properly rewarding their performance. Without a reliable performance appraisal system, a human resource management system falls apart, resulting in the total waste of the valuable human assets a company has.

There are two primary purposes of performance appraisal: evaluative and developmental. The evaluative purpose is intended to inform people of their performance standing. The collected performance data are frequently used to reward high performance and to punish poor performance. The developmental purpose is intended to identify problems in employees performing the assigned task. The collected performance data are used to provide necessary skill training or professional development.

2. Affirmative action has assisted many members of minority groups in creating equal opportunities in education and employment. Who could object to assisting these minorities, who suffered years of discrimination, in getting the equal opportunity they deserve? The problem is, affirmative action promotes racial preferences and quotas which cause mixed emotions. One time supporters of affirmative action are now calling out "reverse discrimination". If we want a stronger support for affirmative action we need to get rid of the preferential treatments.

The back bone of affirmative action began with the ratification of the Thirteenth Amendment. The amendment abolished slavery and any involuntary labor, is showed there was a calling for equal opportunity for all South Africans.

A comprehensive Human Resource Strategy plays a vital role in the achievement of an organisation's overall strategic objectives and visibly illustrates that the human resources function fully understands and supports the direction in which the organisation is moving. A comprehensive HR Strategy will also support other specific strategic objectives undertaken by the marketing, financial, operational and technology departments.

In essence, an HR strategy should aim to capture "the people element" of what an organisation is hoping to achieve in the medium to long term, ensuring that:-

o it has the right people in place

o it has the right mix of skills

o employees display the right attitudes and behaviours, and

o employees are developed in the right way.

If, as is sometimes the case, organisation strategies and plans have been developed without any human resource input, the justification for the HR strategy may be more about teasing out the implicit people factors which are inherent in the plans, rather than simply summarising their explicit "people" content.

An HR strategy will add value to the organisation if it:

o articulates more clearly some of the common themes which lie behind the achievement of other plans and strategies, which have not been fully identified before; and

o identifies fundamental underlying issues which must be addressed by any organisation or business if its people are to be motivated, committed and operate effectively.

The first of these areas will entail a careful consideration of existing or developing plans and strategies to identify and draw attention to common themes and implications, which have not been made explicit previously.

The second area should be about identifying which of these plans and strategies are so fundamental that there must be clear plans to address them before the organisation can achieve on any of its goals. These are likely to include:

o workforce planning issues

o succession planning

o workforce skills plans

o employment equity plans

o black economic empowerment initiatives

o motivation and fair treatment issues

o pay levels designed to recruit, retain and motivate people

o the co-ordination of approaches to pay and grading across the organisation to create alignment and potential unequal pay claims

o a grading and remuneration system which is seen as fair and giving proper reward for contributions made

o wider employment issues which impact on staff recruitment, retention, motivation etc.

o a consistent performance management framework which is designed to meet the needs of all sectors of the organisation including its people

o career development frameworks which look at development within the organisation at equipping employees with "employability" so that they can cope with increasingly frequent changes in employer and employment patterns

o policies and frameworks to ensure that people development issues are addressed systematically: competence frameworks, self-managed learning etc.

The HR strategy will need to show that careful planning of the people issues will make it substantially easier for the organisation to achieve its wider strategic and operational goals.

In addition, the HR strategy can add value is by ensuring that, in all its other plans, the organisation takes account of and plans for changes in the wider environment, which are likely to have a major impact on the organisation, such as:

o changes in the overall employment market - demographic or remuneration levels

o cultural changes which will impact on future employment patterns

o changes in the employee relations climate

o changes in the legal framework surrounding employment

o HR and employment practice being developed in other organisations, such as new flexible work practices.

Finding the right opportunity to present a case for developing an HR Strategy is critical to ensuring that there will be support for the initiative, and that its initial value will be recognised by the organisation.

Giving a strong practical slant to the proposed strategy may help gain acceptance for the idea, such as focusing on good management practice. It is also important to build "early or quick wins" into any new strategy.

Other opportunities may present the ideal moment to encourage the development of an HR Strategy:-

o a major new internal initiative could present the right opportunity to push for an accompanying HR strategy, such as a restructuring exercise, a corporate acquisition, joint venture or merger exercise.

o a new externally generated initiative could similarly generate the right climate for a new HR strategy - e.g. Black economic empowerment initiatives.

o In some instances, even negative news may provide the "right moment", for example, recent industrial action or employee dissatisfaction expressed through a climate survey.

Web Development Versus Web Design - Is There Really a Difference?

Technology pundits have constantly argued that the terms web development and web design are interchangeable with one another. I respectfully disagree and argue that though the terms may have been interchangeable in the past; they have long since become two terms completely separate from one another with different goals, standards, and philosophies behind them. Web development can be quickly defined as "a broad term for any activity related to developing a web site for the World Wide Web or an intranet. This can include e-commerce business development, web design, web content development, client-side/server-side scripting, and web server configuration"; whereas a definition of web design can be summed up as "a process of conceptualization, planning, modeling, and execution of electronic media content delivery via Internet in the form of technologies" (definitions courtesy of Wikipedia). We can take note of a couple of things simply from these simplified definitions. The first is that web design falls under the wing of web development and it is easy to see why many think the two are intertwined much like the concept that a square is a rectangle, but a rectangle is not a square. Web design is a part of web development, but not actually an essential part of developing the web.

Web design, more specifically website design, is a process of creatively visualizing and utilizing the tools and applications created by the web development process. Web design takes the development process one step further and often finds itself using these tools for ideas and applications vastly different than what they were intended for. A quick analogy would be that of how the plane engine made for war combat was used as the basis for the car engine we use in our every day lives. Web design has brought us things like the web 2.0 concept of user generated content; some thing that web development tools are capable of, though not intended for it specifically. Content management systems such as the ones talked about earlier provide the framework for social networking websites and blogs. Dynamic web pages which appeal to our aesthetic eye use frameworks set forth by web development tools yet take it one step further by using the tool to create a masterpiece of web design.

For the Love of Money - Money Lesson #1

You are meant to be the steward of all of the life force energy that moves through you and all that dances before you.

Money can teach us everything we need to know about how to live in this world as spiritually enlightened human beings. The teachings of this lesson #1 run deep. First, it commands from us an understanding that life emanates through us - that we are the creators of our lives. It is not the amount of money that we have or even our apparent capacity for generating it that determines the content of our experience.

Second, it asks us to fully accept our responsibility as creators. Because our lives move through us in order to be expressed, that means that everything we experience is an element of our creation. It is one thing to accept that our consciousness creates our lives and another to integrate that understanding fully. To be the steward of all of the life force that moves through us is to dawn an extraordinary mantle of accountability and honour.

Thirdly, this first money lesson calls us to take that accountability and honour and choose in accordance with the highest good of all. Now, it is true that someone could interpret an entirely different message from this first lesson. As steward of the life force moving through me and dancing before me, it is within my rights to do whatever I want with it. However, first-rate stewardship requires foresight and sustainability. None of us live in a vacuum and all of us have a lasting impact on the world around us. To shape our lives in the path of service, contribution, and abundance for all - both through becoming a beacon of personal freedom and prosperity as well as a source of inspiration and support for the collective, is the mark of true stewardship.

Next, lesson #1 teaches us how to stay unattached from outcome or in this case, the bottom-line. True stewardship is not ownership. We do not own anything in this world. Everything is temporary - we take nothing with us when we go. Yes, we have arranged legal and institutionalized systems of ownership, but these are purely conceptual. The agreements only exist because we have all agreed upon them - more proof that our life experience is based solely in our consciousness. A faithful steward cares for and manages his or her charge without ever claiming or seeking ownership.

Finally, this lesson teaches us to engage all of the details of our lives with care, attention, and respect. These lessons may sound sweeping and metaphoric, but they are practical and tangible as well. Money exists as a worldly representation of our life force energy. To care for every penny, dollar, or million dollars in the spirit of true stewardship is what is being called for here. To become conscious of every choice we make, to place those choices in the service of the highest good, remaining in a fluid state of non-attachment to the results, and paying caring attention to the details is the substance of money lesson #1. Yes, the approach is deeply spiritual and esoterically challenging. But it is also a call to balance your accounts, be aware of the cash you have on hand, the debt piling up on your credit card, and the strategies you take financially to be a steward worthy or your own greatness.

The key is to stop trying to avoid, dominate, or manipulate your money, and begin to learn from it.

What Causes Breakups and How to Save Broken Relationships - Money

In the last article I wrote, we looked at some of the top causes of conflict in relationships. So, what are some of the major causes in breakups? Yes, you guessed it! One of the top causes for contention is - money.

For some couples this is not a problem, they find a system that works for them and they stick with that system. In other couples, there is only one income and so managing the money is managed by both partners, or one person manages it for both of them with the agreement of the other.

Generally, there is little issue when both partners have a say, can agree and are getting their basic needs covered. However, when there is disagreement over how the money is spent and who has control over it, there can be big problems. It becomes an unwelcome focus that grates each day.

Nothing seems to be quite as contentious or divisive as Money. As a sensitive subject, it can be more problematic that religion or politics. It is the 'stuff' on which the world seems to turn and it is something 'everybody' wants! It seems that only a few people have a lot of it, and almost nobody has enough of it!

So... what to do when Money sits like a big ogre between the two of you? Well, you love each other, right? And you are able to talk with each other about pretty much anything, right? Okay... Perhaps the way to start is to set aside a time, and make an 'appointment' with each other to talk about your money.

First, look at this from the point of view that - it is only money and there are many more important things in life; money is a tool, a resource, a means to an end only. While it is important to manage your money well, it cannot be allowed to define your relationship.

Next... talk to each other (and really listen) about what money means to each of you. It is always a good idea to understand more about your mate and why they think or do what they do. This will affect how you both deal with this subject, and remember to allocate some 'personal' money.

After that, go over the 'nuts and bolts' stuff... you know...what your commitments are - the absolute necessities, the needs and the wants. It is important to decide what are non-negotiables like rent, and set aside funds weekly for these costs.

Giving each person some 'personal money' or some control over part of the budget will mean they have responsibility over that portion. It is important that both partners see themselves as being responsible for the money and agree how their budget is built and managed.

The strange thing is that money is more about trust and responsibility than simple finances. Money should not be an emotional resource, but because of what it can represent to us, it invariably is.

In that event, it is perhaps time to take stock of what it DOES represent and what is truly important to us. Do we get our self worth from money? If we do, then it is time to realise that we are more than the sum that we have sitting in the bank.

Money does not buy everything. It certainly does not buy true love, but it can fowl the love nest, if we let it.

The Importance of Being Different - Brand Identity

One of the key concepts to any brand identity initiative is helping organizations understand their differentiation. It's one of the hardest parts of the process, but it's also one of the most critical. As Philip Kotler, professor at the Kellogg School of Management has written, "The art of marketing is the art of brand building. If you are not a brand, you are a commodity. Then price is everything and the low-cost producer is the only winner."

This cannot be seen more clearly than in the example of Imax theatres. Imax had a very good recession, according to an article in the January 30 New York Times.

A few years ago, Imax was deeply burdened by debt and looking unsuccessfully for investors. Cut to 2011. Global box office receipts at Imax theaters more than doubled last year to 6 million, from 0 million in 2009.

Just as other media companies have been fighting the effects of the digital revolution and piracy, Imax is benefiting from the fact that it offers a unique viewing experience - one that is difficult to replicate in other theatres or in-home. Its curved screens are massive, about 72 feet by 52 feet, although some are much larger. The film screen resolution is also higher than what is shown in traditional theatres.

The average ticket price for an Imax movie last year in the U.S. was , about higher than the average traditional theatre ticket price, and the company was able to reduce its costs starting in 2007. That year, Imax switched to a digital projection system, replacing analog prints that had been costing about ,000 per theatre with digital versions that cost 5 per theater. That made it possible to add more screens. By the end of 2011, the company will have doubled its number of screens worldwide to 600 total, compared to 2005 when it had about 300.

This story is one of transformation, but also a tale of best-in-class branding. It's about a company that knew what it was, one that saw an opportunity to apply its market distinction to achieve success, and that continued to build and promote its own unique set of characteristics.

According to Richard Gelfond, CEO, "All over the world, people are willing to pay for premium content," he said. "They want something they can't get in the home."

It's a classic case study in differentiation. Imax saw the challenges of the digital era and instead of abandoning their model, they reinforced it and managed to find a way to build the brand by adding screens. Fundamentally, they were banking on the idea that consumers would pay a premium for a quality viewing experience that cannot be matched. And they were right.

Instead of chasing the problem, Imax went the other way. They embraced their big-screen brand image. The company was able to see that their strength was in the unique value proposition they offered to viewers. Knowing this clear distinction in its market provided the foundation of confidence to finance an expansion at a time that didn't encourage a great deal of confidence in the company's future.

Now, the company is launching a V.I.P. cinema in Moscow in April. For those who choose to relax in oversize leather chairs while watching their desired blockbuster of choice, it should be quite an experience. The cost of a ticket for one of the 80 seats: close to 0. If this one is successful, Imax has plans for more V.I.P. theatres in cities like St. Petersburg.

It's a scary notion, this business of standing out and being different. I know from experience that it's far easier to use the same old borrowed language from within the industry we serve. Stepping outside of the din of a thousand agencies all barking the same thing feels like teetering on the edge of a precipice. It can be scary for people in group dynamics, and it's proportionately even more daunting for an organization.

A consultant once shared with me that the most successful, enduring brands were the ones that created a memorable experience for its customers. He felt strongly that the best brands, the ones that resonate with us for a lifetime, are the ones that appeal to our emotions and passions, as opposed to the ones that are based on an intellectual benefit. Citing companies like Harley Davidson, Apple, Polo Ralph Lauren, among others, he argued that a brand's differentiation was its heart and soul.

I believe it's also what Mr. Godin was referring to by the now famous purple cow analogy.

Another consultant once said, "No company ever lost by taking the high road." I know that can mean a lot of things, and perhaps it meant that it's important to remain principled. Or perhaps it means that luxury market brands are always more durable in the long run.

But I like to think that he was speaking about the importance of getting above the fray, standing out from the pack and projecting an image - indeed, living an image and brand promise - that is bold, unique and clear, and that can never be mistaken with another brand. That type of recognition and distinction that sets apart high-performing brands, the kind that elevates the company well above all competitors - that's a goal that every company should aim for.

Crude Oil - The Different Benchmarks For Traders And Investors

Transactions in crude oil are carried out all over the world, and there can be a bewildering variety of contracts and vehicles at different prices, so it can be confusing for traders looking for a suitable benchmark. In addition, each type of vehicle has many different options and futures with various expiry dates, so this brief paper describes the main vehicles for CFD traders.

The two main crude oils which are either traded themselves or whose prices are reflected in other types of crude oil are West Texas Intermediate and Brent.

Content Management System

Types of crude

The main differences in the type of extracted crude relate to viscosity and sulphur content. Viscosity is measured by API gravity, which is a measure of how heavy or light the petroleum liquid is compared to water. The higher viscous crudes are called "heavy", and those with a lower API figure are classed as "light".

Those crudes with higher sulphur content are called "sour", and the lower sulphurs are "sweet".

The heavier and more sour the extracted crude is, the more difficult and expensive it is to turn into usable refined products, so the benchmarks usually chosen are for light, sweet crudes.

Typically, there is a price differential between light sweet crudes and heavier sour issues, but this has risen in recent years as a result of the decrease in the supply of light, sweet crude, which means. Higher quality crude supplies are always consumed first, and the world is now increasingly reliant on a lower quality product.

Data from OPEC suggests that global production of light, sweet crude actually declined between 2000 and 2004, so this might be seen as the beginning of the 'peak oil' scenario.

West Texas Intermediate (WTI)

This is a major benchmark for oil traders and is the underlying commodity of the New York Mercantile Exchange's oil futures contracts. Although WTI has traditionally had a higher price than that of Brent crude, recently this has contracted and even reversed at times.

WTI is a light crude and with an API gravity of 39.6 degrees it is lighter than Brent Crude. It contains about 0.24% sulphur, and it is also sweeter than Brent. It is of very high quality and is excellent for refining a larger portion of gasoline.

Although the production of WTI crude oil is on the decline, it still is the major benchmark of crude oil in the Americas. WTI has generally been priced at about a to per-barrel premium to the OPEC Basket price (see below) and about to per-barrel premium to Brent, although on a daily basis the pricing relationships between these can vary greatly.

Our analysis of crude oil at Blue Index uses WTI as the benchmark for US crude prices.

Brent

Brent, or actually Brent Blend, is a combination of crude oil from 15 different oil fields in the Brent and Ninian systems in the North Sea. Its API gravity is 38.3 degrees, slightly heavier than WTI but still light, and it contains about 0.37% of sulphur, again sweet but less so than WTI.

Brent blend is ideal for making gasoline and middle distillates, both of which are consumed in large quantities in the North Western Europe, where it is normally refined. There are times though when the arbitrage between Brent and other crude oils makes it worth exporting. Brent has been known to be refined in the United States (typically the East Coast or the Gulf Coast) or the Mediterranean region.

Brent blend production is also in decline, but it remains the major benchmark for other crude oils in Europe or Africa. It is generally priced at about a per-barrel premium to the OPEC Basket price or about a to per-barrel discount to WTI, although on a daily basis the pricing relationships can vary greatly.

NYMEX Futures

The NYMEX (New York Mercantile Exchange) futures price for crude oil, which is another major benchmark, represents on a per barrel basis the market value of a futures contract to either buy or sell 1,000 barrels of WTI or some other light, sweet crude oil at a specified time.

Although most NYMEX crude oil contracts are never executed for physical delivery, the NYMEX market supplies important price information to US buyers and sellers of crude oil in the US and around the world, making WTI the benchmark for many different crude oils, especially in the Americas.

Typically, the NYMEX futures prices tracks very closely the WTI spot price as above, although since the NYMEX futures contract for a given month expires 3 days before WTI spot trading for the same month ceases, there can be a period in which the difference between the NYMEX futures price and the WTI spot price widens noticeably.

OPEC Basket Price

For more detailed crude oil pricing, OPEC collects pricing data on a basket of seven crude oils, including: Algeria's Saharan Blend, Indonesia's Minas, Nigeria's Bonny Light, Saudi Arabia's Arab Light, Dubai's Fateh, Venezuela's Tia Juana Light, and Mexico's Isthmus (a non-OPEC crude oil).

OPEC uses the price of this basket to monitor world oil market conditions. Because WTI crude oil is a very light, sweet crude, it is generally more expensive than the OPEC basket, which is an average of light sweet crude oils such as Algeria's Saharan Blend and heavier sour crude oils, such as Dubai's Fateh. Brent is also lighter, sweeter, and more expensive than the OPEC basket, although less so than WTI.

Imported Refiner Acquisition Cost (IRAC)

The Imported Refiner Acquisition Cost is a volume-weighted average price of all crude oils imported into the US over a specified period. The US imports more types of crude oil than anywhere else and it is thought this may represent the truest world oil price among all published crude oil prices.

The IRAC is also usually similar to the OPEC Basket price, so it too is typically about to per barrel less than the WTI spot price and about to per barrel less than the Brent price. But because the IRAC is not reported by EIA (the US Energy Information Administration) until nearly 2 months after the end of the measured month, it is not a particularly timely measure current prices, so is often used for longer term analysis.

Although EIA is generally the only organization that uses the IRAC, it is used by EIA as the world oil price in its publications, including the monthly Short-Term Energy Outlook, as well as the Annual Energy Outlook and International Energy Outlook, also released annually, and these provide an annual forecast for approximately 20 years in the future.

ISO 9001 Quality Management - Corporate Manual

Current practices create inconsistencies

Through my work as a Lead Auditor with major registrars, I observed dozens of large multi-location companies struggling with connecting their corporate policies and manuals with the supporting, location-specific documents. To develop a manual for a company with numerous facilities, organizations take two routes. Some companies create site-specific manuals either as copies of the corporate manual or site-specific manuals that are different from the corporate manual.

Content Management System

In the first case when a site-specific manual is a copy of the corporate manual with modifications specific to a given site, mechanisms to keep these documents coordinated are rarely defined and followed. Difficulties of keeping these documents in sync are due to the fact that corporate manuals are controlled by the home office, while local manuals are responsibility of site's documentation control departments.

Another approach organizations take is to allow their satellite locations having their own quality, environmental or other policies and manuals independent from the corporate policy and manual. This technique very often leads to major disconnect of the corporate and local policies and manuals. From the corporate identity and simply business consistency points of view, an organization should not find itself in a position of having different or conflicting commitments of its facilities to quality, environmental issues, customer satisfaction, safety hazards and other requirements of applicable standards. One of our large customers demonstrated this point well. The corporate quality policy and manual addressed majority of the requirements of applicable standards and referenced appropriate regulations. At the same time, one location did not reference required ISO 13485 standard, another missed a commitment to compliance with regulatory requirements, yet another one failed to document their quality policy all together!

As we can see, both approaches to creation of location's manuals as copies of the corporate manuals or independent manuals do not appear to be practical. Besides, if a company has already spent time on developing a manual, why should another employee in the same organization spent more time to create a similar or duplicate document?

Corporate manuals can be used by all locations

To address this issue, let's review, as an example, ISO 9001 quality manual model, specifically supporting document reference structure and the application clause. As a common practice, a manual references supporting documents within the text of the manual. For example, clause 5.5.1 of the manual, Responsibility and authority, may read:

QW Enterprises, LLP's Management Team ensures that the responsibilities and authorities are defined and communicated within the organization per the Resource Management Procedure and the Organizational Chart.

The same model will also work for a multi-site organization for those documents that are used at all locations. For example, such processes as Management Review, NC-CAPA Procedure, Documentation Management Procedure, Audit Procedure, and others may be the same for all locations and therefore be referenced in the quality manual as shown above. However, what if our locations have different exclusions, use their own organizational charts, product realization procedures, and other site-specific documents? If we use the model above and want to keep a common manual, we have to reference in the manual corresponding documents for all locations which may not be practical.

Below we will explore how a corporate manual can practically reference location-specific documents to support commitments of the company's common manual. Let's start from referencing documents. The same reference structure as for a single-location company can be used if the number of locations is small, let's say two or three. In this case, clause 5.5.1 of our corporate manual may state:

QW Enterprises, LLP's Management Team ensures that the responsibilities and authorities are defined and communicated within the organization per the Resource Management Procedure, Organizational Chart HO and Organizational Chart Ontario.

This example shows references to the common Resource Management Procedure and site-specific organizational charts for the Home Office (HO) and the Ontario locations. While this model works well for a limited number of facilities, it becomes impractical when the number of locations is significant.

Manual Reference Matrix

For companies with a large number of locations, where we need to reference numerous documents including those controlled by satellite locations, we have another option. We can establish a document to connect corporate manual commitments with the site-specific supporting documents. Let's name this document a Manual Reference Matrix and consider the following document reference structure: Corporate Manual element > Manual Reference Matrix Table of Contents (ToC) > Site-specific Manual Reference Matrix > Corresponding site-specific document. To illustrate this model, let's document the same element 5.5.1 of our corporate manual with references to site-specific organizational charts:

QW Enterprises, LLP's Management Team ensures that the responsibilities and authorities are defined and communicated within the organization per the Resource Management Procedure and site-specific organizational charts per the Manual Reference Matrix ToC.

This statement tells us that the company uses common Resources Management Procedure and site-specific organizational charts. To locate a site-specific organizational chart, we need to refer to the Manual Reference Matrix Table of Contents (ToC). This table of contents is simply a list of all locations' Manual Reference Matrixes, as shown in the illustration below:

Manual Reference Matrix Table of Contents Home Office (Denver, Colorado, USA) Ontario (Canada) St. Petersburg (Russia) Guanajuato (Mexico) Port Williams (Chile)... etc,

Following the hyperlink "Ontario (Canada)" we will find a site-specific Manual Reference Matrix. Locating element 5.5.1 in the Ontario Manual Reference Matrix, we will find that Ontario location uses for this clause of the manual a document called Organizational Chart Ontario. A Manual Reference Matrix may be formatted as a three-column form. The first two columns are titled "Corporate Manual section No." and "Corporate References"; the third column is called "Location references". For the element 5.5.1, the Matrix indicates that manual references Organizational Chart HO for the corporate office and the Organizational Chart Ontario for the Ontario facility.

Now, when we successfully resolved the issue with referencing site-specific documents, let's see how we can address different scopes, exclusions and other similar elements. Let's say that our corporate office maintains an integrated management system compliant with ISO 9001:2008 and ISO 14001:2004 standards. The corporate office management system satisfies all requirements of ISO 9001 standard and therefore does not declare any exclusions.

At the same time, our Ontario facility is certified to ISO 9001:2008 only and does not perform design function, therefore excluding design from its scope of certification. These differences can be documented within the same Manual Reference Matrix. Section 1.1, Purpose and scope of the matrix references ISO 9001:2008 and ISO 14001:2004 standards for the corporate office, while Ontario facility references only ISO 9001:2008. Similarly, element 1.2 of the matrix, Application, states for the corporate office: "Application, QW Enterprises LLP's Management System satisfies the full range of requirements of ISO 9001:2008 Standard.", while for the Ontario facility this element reads: "QW Enterprises LLP's Ontario facility does not perform design function, therefore, design is excluded from the scope for this facility." Controlling Manual Reference Matrix

It is a good idea to make your Manual Reference Matrix ToC a part of your Corporate Manual. It is also beneficial to control your Manual Reference Matrix Template through the corporate documentation management system to ensure consistency of the matrix format used by different locations. Each of your facilities will use this template matrix to document their site-specific references addressing requirements of the corporate manual.

After completion of the Manual Reference Matrix by a given location, this document, as any other, will be given a document title and be released through the local documentation change process. Any changes to the corporate manual should trigger review and, if necessary, changes to the Manual Reference Matrix Template and Manual Reference Matrices of all locations.

The Tickler File, A Low Tech, High Productivity Paper and Work Management Tool

Do you wish for a miracle, or perhaps you are hoping that the "organizing fairy" will appear while you are sleeping, to deal with the ever-accumulating piles of paper on your desk? Let's face it, for now; the paperless office is just a myth.

You may have thought that your PDA (Blackberry, Treo, iPhone, etc.) would take care of every detail of your life, but yet you still have the piles of papers. The PDA electronically manages: calendar, address books, mobile phone, personal contact software integration, shopping lists, electronic copies of documents, etc. The Tickler File physically manages paper: tickets to the game or theater, forms or paperwork needed for a specific day.

Content Management System

So what is a tickler file you ask?

A tickler file is a dated filing system that eliminates the piles, files and lists that clutter up your life. The system consists of 43 folders: one for each month, labeled January-December and one for each day of the month, labeled 1-31, which creates a rotating, perpetual paper and task management system. Visit your tickler file daily and you will never have to worry about forgetting to do something again.

The more ways that I find to utilize the system, the easier my life gets. It is not just a reminder, but also a place to put all those ever-present "to-do" but "not now", papers.

Supplies needed

One box of 3-tab file folders

Labels for each month, January - December

Labels for each day of the month, 1 - 31

Seven alligator clips, labeled Monday - Sunday

Container for the 43 folders

The set up

The container can be anything you like to fit your office decor. It should be tall enough to support the folders, at least 5 or 6 inches high and 6 or 7 inches deep.

Use only the left side tabbed folders for the days of the month, and label them 1 - 31.

Use only the middle tabbed folders for the months of the year, and label them January - December.

Label the 7 alligator clips with the days of the week.

The daily files are in the front beginning with the file for tomorrow's date. (If today is Sunday, June 15, then the first file would be "16" with the "Tue" clip on it.)

The subsequent daily folders, ("17" through "31") represent the remaining days of the month. The next file behind the last day of the month will be the following month file, in this case "July", and behind it would be the daily files "1" through "15". The rest of the monthly files, "August" through " June" will be behind that.

How to make it work for YOU

Create a new habit. Every day check your tickler file. Do it first thing in the morning, or as next-day planning before you leave the office. Choose the best time for you and do it every day. If you know you will be away for a day, or a few days, just check all those day files before you leave, so that you can leave the office knowing that you have not forgotten to deal with any important, or time-sensitive items.

Each day pull the folder that corresponds to that day's date. Act on those contents, pay the bills, send the cards, etc, or move them to another day's file, if you cannot get to them right away. This is the key to keeping the paper piles on your desk from accumulating again.

Re-file the day folder behind the previous day's folder, which will be behind the next month's folder, and move the alligator clip to the back of the day of the week clips. You are creating a perpetual calendar that reminds you what you need to do, and when to do it.

Place items or events that extend beyond the current month, in the appropriate month's file. When the next month file reaches the front, (July) take the contents and delegate them to the daily files for that month, so that each task will be done in a timely manner, without you having to think about it, or having all those items in a pile on your desk where you think you can see them.

What to put in your Tickler

The possibilities are endless, and the following list will give you an idea of how this system will simplify your life.

Bills to pay - Bills that you receive and send through the mail should be put it in the day folder 5 or 6 days prior to due date, to allow time for delivery. If it is an automatic payment you can have a perpetual note in the appropriate day file to remind you to deduct the payment from your checkbook.

Monthly Reminders - For example, a 3 x 5 card could say "backup computer files" and you would file it in a daily file every month to give you that reminder every month.

Follow-up phone calls - You no longer need to keep the entire client file on the desk to remind you to make that call. Just write yourself a note and file it in the tickler.

Airline tickets and travel papers - File everything you need for your trip, including your passport.

Items you need to take action on - Events you want to RSVP to, register for seminars in time for the early bird discount, schedule appointments.

Home maintenance - Things that need to be done around the house, such as replacing the heater and air conditioning filters can be scheduled in the tickler file, and when the task is complete, re-filed for the next scheduled time for the task.

Placeholder for larger items - If the item is too big to be stored in the tickler file, a "pointer" to that item can be created on a 3x 5 card, and placed in the tickler file.

Birthdays and other special dates - Again, the 3 x 5 card can be used with the person's name and birthday and filed in the appropriate monthly folder. Tickle for appropriate lead-time to get cards, presents, arrangements made.

Review "maybe" actions - For those items that you are thinking about, but want to wait to decide on, such as an upcoming seminar to attend, or new project you want to begin. File a reminder, or the flyer to show up in a week, or two weeks when you have more information, more money, or more time to act on it.

Those pending items that you don't want to forget - The tickler is the perfect place for the DMV renewal notice received in June that requires a smog check, but is not due until August, paperwork and tracking information for a FedEx shipment, a bill with payment issues that I you may be waiting for a response to, and yesterday's items that did not get completed!
